    Inside Sales Coordinator



    Job Description


    Basic Function
    Provide key support in development of sales proposals, order processing and equipment shipments to dealers/customers, field sales staff, Astec sister companies and Kolberg-Pioneer, Inc. through all stages of sales process to ensure customer and Kolberg-Pioneer expectations are met or exceeded. Maintain Kolberg-Pioneer, Inc. core values throughout all aspects of the job.
                           
    Primary Duties and Responsibilities
    1. A primary “in-house” contact for the equipment sales organization through all stages of sales process.  Coordinate activities between the dealer/customer, field sales staff, Astec sister companies and internal departments. 

    2. Prepare equipment sales price quotes.  This requires obtaining adequate and correct information from the customer, determining any special equipment requirements (requirements can vary by state, country and/or dealer/customer), gathering quotes from Astec sister companies, documenting the costing/pricing of the equipment.  Furnish sales proposals including quotes, freight estimates, drawings, layouts and flows as directed. 

    3.Work with the Inside Sales personnel to set price structures for non-standard quotes that result in acceptable margins for Kolberg-Pioneer.  This includes working with engineering BOM’s and cost accounting data to develop cost/margin/price reviews. 

    4. Complete restricted 3rd party screening as needed for customer visits, acceptable quotes/orders for anyone outside the Continental US. 

    5. Detailed order preparation – working with Production, Engineering, Traffic, Accounting and Inside Sales Group in writing job orders.  Gathering details required to process order including, but not limited to, equipment details which may consist of purchase orders, letters of credit, new customer accounts, non-standard product options, packing requirements, language translation of manuals etc., terms of payment, commissions, reserve, ship to, delivery terms, service requirements, engineering, completion and ship dates.  Submit the final details of each order to the dealer/customer, Regional Sales Manager, Sales Director or internal departments as necessary to ensure the equipment produced matches the purchase order or contract in the form of order write up and acknowledgement.  Confirm receipt of signed acknowledgement.  Prepare additional order documentation such as proforma invoice, letter of readiness, cash against documents notice etc. as required.   

    6. Monitor orders that have shipping terms other than ExWorks for possible delayed revenue recognition and communicate with cost accounting any requirements.

    7. Work with dealers/customers and/or freight carriers or freight forwarders to obtain drawings, weights, dimensions and loading needs required for equipment shipment and/or documentation preparation. 

    8. Maintain various types of Kolberg-Pioneer, Inc. offsite inventory which may include consignment, rental and/or free-trade zone equipment. 

    9. Obtain additional, relative information regarding competitive pricing, design, availability, dealer’s margin, etc. to determine the best approach to meeting the customer’s requirements. 

    10. Understand and follow standard sales procedures and recommend changes as identified. 

    11. Advise the Kolberg-Pioneer, Inc. Sales Management and Marketing groups of developments learned as it relates to competition, market trends and customer needs. 

    12. Executes internal Sarbanes-Oxley control responsibilities with diligence and integrity. These internal control responsibilities are communicated to the person fulfilling this position, and periodic feedback is provided as it relates to performance of internal control responsibilities. 

    13. Provide assistance and/or perform other related duties as assigned by supervisor. 

    Essential Qualifications
    1. Associate’s or Bachelor’s degree in business, marketing or engineering/manufacturing/industrial/construction technology or equivalent business experience preferable.  

    2. Knowledge of AutoCad and 3D design software desired. 

    3. Operate general office equipment including telephone, computer, calculator, fax, etc.    Working knowledge of Microsoft Office software, including Word and Excel, ERP and CRM system. 

    4. Employee must demonstrate good oral and written communications skills and be resourceful.  Work independently and effectively manage workload and work well under pressure. 

    5. Ability to exercise sound judgment and have good problem solving and negotiation skills.  Good interpersonal relations skills when dealing with management, sales representatives, dealers, dealers/customers, and inter-company personnel.  Skilled at interacting with people from all countries and cultures.  Bilingual preferable. 

    6. Willingness to travel worldwide by air and auto occasionally. Must have valid driver’s license and be able to obtain a passport, if needed.  Must have financial means to cover travel expenses when required with approved expenses to be reimbursed. 

    7. Perform work in a heavy industrial environment with exposure to dust and noise, occasional climbing required, etc.
